This Privacy Policy explains what data we collect when you use our website kboxsolutions.com and our membership system id.kboxsolutions.com (together, the “Platform”), why we use it, and what rights you have over it.

Data We Collect

1. Account information (id.kboxsolutions.com)

When you create an account, we ask you for:

  • Full name
  • Company name
  • Company website
  • Email address and a password for your account — the password is stored as an irreversible hash and cannot be read by us

We also keep security records such as the account creation date, last sign-in time and the IP address used to sign in.

Accounts are intended for business use; we ask for these details to identify you as a representative of a company. Please provide only information you are authorised to share, and do not enter other people's personal data.

2. Usage and device data

IP address, browser and operating system, pages viewed, the link that brought you to the Platform, time spent, and approximate location at city/country level. This data is collected through Google Analytics.

3. Contact and support data

The name, email address, phone number, message content and technical details you share when you email or call us about a question or a support request.

4. What we do not collect

The Platform takes no online payments and asks for no card details. We do not request sensitive data such as health or biometric information. The serial number you type on the serial number lookup page is decoded in your browser; it is never sent to our servers or stored by us.

How We Use Your Data

  • Product promotion, new product and update announcements, technical information and newsletters — your consent

Product Promotion and Informational Emails

We use your account information to tell you about new products, product updates, technical documentation, campaigns and industry developments by email.

  • These emails are never sent without your consent. You can give consent when you register or later in your account settings.
  • You can withdraw your consent at any time, free of charge and without giving a reason: use the unsubscribe link at the bottom of any email, or write to [email protected]. We act on your request without undue delay.
  • Withdrawing consent does not affect your account. Essential account notices (password resets, security alerts, changes to these terms) are not promotional messages and will continue to be sent.
  • We do not sell, rent or transfer your data to third parties for advertising or marketing purposes.

Cookies

The Platform uses only two kinds of cookies and similar technologies:

  1. Essential cookies: required for basic functions such as your language preference and keeping you signed in.
  2. Analytics cookies: Google Analytics 4 (measurement ID G-BGMLBSJ6JV) is used to measure visitor numbers and page views in aggregate. We use no advertising, remarketing or profiling cookies.

You can delete or block cookies in your browser settings. To opt out of Google Analytics entirely, you can install Google's browser add-on. Blocking essential cookies may prevent you from staying signed in.

The Platform currently has no cookie consent banner; analytics cookies load when you visit. You can block them using the methods above.

Third-Party Services and International Transfers

The Platform relies on the third-party services below. Your data may therefore be processed on servers outside Türkiye; such transfers are made under the standard contractual clauses and data protection commitments of the relevant providers.

  • Google Analytics (Google Ireland Ltd. / Google LLC) — visitor statistics.
  • Google Maps — the map on our contact page. When the map loads, Google may receive your IP address and cookie data.
  • Google Drive — hosts the KboxSupport download link on our support page.
  • Our hosting and infrastructure providers — the Platform's files and membership system run on cloud infrastructure (Cloudflare / Amazon Web Services).
  • Email delivery provider — used to deliver newsletters and informational emails.

Each of these services has its own privacy policy. Apart from these, we do not share your data with third parties except where legally required to do so by a competent authority.

Remote Support

If you download and run the KboxSupport application from our support page, our support engineer can see your device's screen for as long as you authorise it. A session can only be started by you, can be ended by you at any time, and is used solely to resolve the technical issue you reported. Access ends when you close the application.

How Long We Keep Your Data

  • Account information: for as long as your account is active. If you close your account, it is kept for the applicable statutory limitation periods, then deleted or anonymised.
  • Marketing consent and opt-out records: for a reasonable period, so that we can demonstrate your request was honoured.
  • Analytics data: for Google Analytics' retention period (up to 14 months).
  • Emails and correspondence: after your request is resolved, for the applicable statutory limitation periods.
  • Security and server logs: up to 2 years.

Your Rights

You have the right to:

  • Know what data we hold about you and request a copy
  • Have inaccurate or incomplete data corrected
  • Request erasure of your data
  • Request restriction of processing
  • Port your data in a structured, machine-readable format
  • Object to processing based on legitimate interest
  • Withdraw your consent at any time
  • Lodge a complaint with the competent data protection authority

Send requests to [email protected] or to the postal address above. We will respond within 30 days at the latest. You can also update your account information or close your account yourself from your account settings.

Data Security

The Platform is served only over an encrypted connection (HTTPS). Passwords are stored as irreversible hashes. Access to personal data is limited to staff who need it for their work. Even so, no transmission over the internet can be guaranteed to be 100% secure, and keeping your account password confidential is your responsibility.

Children's Data

The Platform is intended for business use, is not directed at children, and we do not knowingly collect data from anyone under 16.

Changes

We may update this policy from time to time. The current version is always published on this page together with the “Last updated” date above. We will notify account holders of material changes by email.
